Video Team Coordinator at

The Video Team Coordinator administratively supports the Director of Production & Video Operations and provides video production support needs.

  • Managing a tightly packed and constantly changing daily schedule of key meetings, interviews, and calls in order to optimize the Director’s time, continuously looking for ways to create efficiency and ease
  • Setting up necessary tech, a/v, supplies, and food/drinks as needed for meetings
  • Coordinating with key managers, team members, and vendors to ensure smooth communication and open lines in a manner consistent with TED standards and style
  • Anticipate administrative needs of the Director and other team members and foresee issues before they arise
  • Handling credit card statements and expense reports for Director
  • Serve as point of contact for video production and other media team inquiries
  • Supporting the Director’s travel logistics and hotel accommodations
  • Screening, scheduling interviews for new potential hires for video team
  • Event planning one to two team off-sites/retreats annually
  • Receive guests for Director meetings in a warm and welcoming manner that represents TED, including preparing snacks/coffee and giving brief tours
  • Attend Coordinator meetings on behalf of video team
  • Work with Office Manager and other Coordinators on org-wide issues such as office space management for video team
  • Cross-team connections with other coordinators and staff (ex: planning all-hands)
  • Providing production assistant support at select TED events (prepping stage notes, being a stagehand, etc.)
  • Providing production and/or admin support on select special project

  • B.A. or B.S. degree
  • Minimum 2-3 years of work experience
  • Thrives in a dynamic and passionate work environment
  • Demonstrates a flexible and adaptable work style that responds quickly and efficiently to things as they happen
  • Finds joy in detail, administrative tasks, efficiency, logistics, quality, and video production.
  • Exceptional communication, writing and organizational skills
  • Fluency with Google Suite, Microsoft Suite, Adobe Creative Suite; experience with Final Cut Pro or other editing software a plus
  • Naturally inquisitive and analytical with research experience
  • Extremely detail-oriented, organized and self-sufficient
  • Capable of multitasking in a fast-paced environment
  • Able to execute tasks with minimal guidance
  • Reliable and confident
  • Willingness to contribute however possible to ensure overall effectiveness of position
  • Basic bookkeeping, expense reports, and credit card statement processing
  • Able to work in a startup like environment, where everyone wears multiples hats and priorities regularly shift
  • Passionate about TED's mission and about supporting a TED Director
